This Privacy Policy explains how we collect, use, disclose, store, and protect your personal information, including sensitive health information. It applies to our website, client booking platform, programs (including future programs), services, and any interactions with us.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), as well as the Health Records (Privacy and Access) Act 1997 (ACT).

1. What Personal Information Do We Collect?

We may collect the following types of information:

• Contact and Identification Information: Name, date of birth, gender, address,      phone number, email, emergency contact details.
• Health Information (sensitive information): Medical history, current conditions, medications, supplements, injuries, allergies, previous test results, lifestyle information (sleep, exercise, nutrition), goals, and iScreen      biomarker / blood test results.
• Service & Program Information: Booking details, attendance records, training notes, coaching notes, progress measurements, photos (with consent), and feedback.
• Website & Booking Platform Data: IP address, browser type, pages visited,      booking form submissions, and cookies/analytics data.
• Payment Information: Billing details (processed securely via third-party      providers).

2. How Do We Collect Your Information?

We collect information:

• Directly from you (via intake forms, discovery calls, booking platform, emails, phone, or in-person).
• From third parties such as iScreen pathology providers (with your consent),  your GP (if you authorise), or referral sources.
• Automatically through our website and booking platform.

3. Why Do We Collect, Use, and Disclose Your Information?

We collect, hold, use, and disclose your personal and health information primarily to:

• Provide and personalise our wellness services, coaching, personal training,      recovery therapies (mHBOT, RLT), facials, and programs.
• Conduct pre- and post-program biomarker testing and interpret results for wellness coaching.
• Manage bookings, payments, and program administration.
• Communicate with you about your program, appointments, and care.
• Improve our services and for internal business purposes.
• Comply with legal obligations.
• With  your consent, for marketing, testimonials, and promotional purposes.

We will only use or disclose your health information for the primary purpose for which it was collected, or for a secondary purpose to which you have consented or that is permitted by law.

4. Disclosure of Your Information

We may disclose your information to:

• Our staff, contractors, or subcontractors who need it to deliver services (e.g., trainers, coaches).
• Third-party service providers (booking platform, payment processors, iScreen pathology, IT/hosting providers) under strict confidentiality.
• Your GP or other health professionals, with your consent or where permitted/required by law.
• Courts, regulators, or government bodies where legally required.

We do not sell your personal or health information.

Overseas Disclosure: Some of our service providers (e.g., cloud storage, booking software) may be located overseas. We take reasonable steps to ensure they comply with Australian privacy standards.

5. Security of Your Information

We take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification, or disclosure. This includes secure electronic systems, password protection, access controls, and staff training.  When your information is no longer needed, we will securely destroy or de-identify it, subject to legal retention requirements (generally at least 7 years for adult health records).

6. Access and Correction

You have the right to request access to the personal and health information we hold about you. You may also request correction of inaccurate information.

To request access or correction:

• We will respond within a reasonable time (usually 14–30 days).
• We may charge a reasonable fee for providing access.

Under the ACT Health Records (Privacy and Access) Act 1997, you have specific rights regarding your health records.

If you have a complaint about how we have handled your personal or health information, please contact us first. We will investigate and respond promptly.
